Job Function:
The Program Specialist is a member of the Early Learning Career Center team. This position supports members of the team both administratively and programmatically. The priorities of this position are office management, technical assistance, marketing, Professional Development Specialist (PDS) and Scholarship Management staff support duties associated with the operation of the Career Center.

Specific Job Duties:
The specifics of the duties and responsibilities of this position will include but not be limited to the following:

  • Provide information about the QIS initiative and benefits.
  • Orient educators over the phone regarding referrals to Scholarship Management staff, PDS, or other agencies affiliated with QIS initiative.
  • Provide support to educators applying for ELCC scholarships.
  • Assist PDS with administrative scholarship process via Children’s Forum data systems.
  • Provide support, advocacy and information to the community and educators. Make appropriate referrals to PDS, agency partners or institutions accordingly.
  • Greet educators who visit the Center office and ensure that services are provided in an effective manner resulting in high satisfaction.
  • Perform daily administrative tasks for Career Center including, but not limited to, mail distribution, phone calls, purchase orders (Pos), copying, scanning, mailing, faxing, and filing, etc.
  • Assist the Scholarship Management staff and PDS in identifying additional resources by researching and networking as needed.
  • Assist and facilitate the application/admissions process of professional development opportunities in the community.
  • Receive and verify PDR updates and grades by matching of scholarship goal with transcript or certificate submitted.
  • Attend staff meeting and any other important meeting as assigned by the ELCC Director.
  • Assist with flyers, brochures, power points to assist in the marketing of the ELCC.
  • Conduct outreach activities including in-person visits to childcare programs and telephone or virtual communications with educators for scholarship recruitment.
  • Provide technical assistance to the ELCC staff regarding the use of some of the software and/or equipment.
  • Serve as a liaison between the IT Department and the Career Center for trouble shooting, testing and data entry consistency.
  • Assure that office procedures and workflow run smoothly. Provide intervention and assistance as needed.
  • Meet with institution representatives as needed for applications, application payments, and/or registration.
  • Ensure all office equipment is in working order, arranging for maintenance/repairs if needed. Ensure all office supplies are stocked and ordered, as needed, with ELCC Director approval.
  • Publicize the availability of services through the Career Center via Facebook, make presentations before community groups, and conduct outreach efforts to educate community about PD opportunities, provider groups, schools, and others as appropriate.
  • Keep accurate inventory of office equipment, keys, furniture, and special supplies.
  • Ensure the security of the equipment and resources provided to perform these functions (laptop computer, printer, cell phone, supplies, etc.).
  • Assist with scheduling of services (water delivery, shredder, etc.) as needed.
  • Other duties as they become necessary for the efficient operation of the project.

EDUCATION:
Must have a minimum of an associate degree and /or a minimum of three years of experience in an administrative capacity. Work experience in the early childhood field is preferred.

Licensing, Certifications and Requirements:
The employee must possess a valid Florida driver’s license and be deemed a safe driver.
